Job Description SummaryThe Study Abroad Coordinator supports the operations and initiatives of the Cronin Office of International Education. This is a high visibility, front-facing role in international education, serving as the first point of contact for students and all who interact with our office. The Coordinator regularly collaborates with the advising team, synchronizes critical functions for the office, and reports to the Director.
Essential DutiesStudy Abroad Administration- Foster a supportive environment for Bentley students to approach their study abroad journey from prospective students to re-entry.
- In collaboration with advising team, facilitate effective and efficient initial advising for students beginning to consider study abroad
- Manage application and enrollment logistics, liaise with students, faculty, and across university divisions. Monitor deposits, facilitate billing, record and report withdrawals, etc.
- Coordinate event planning for Study Abroad Fair, accepted students meetings, program meetings, annual photo contest, and other in-person and virtual events and campaigns.
- Coordinate large Pre-Departure Orientation sessions in cooperation with advising staff (planning, materials, reservations, student invites, etc.)
- Coordinate scheduling and logistics for information sessions, classroom visits, and other campus events ensuring assignment of staff, room reservations, tech support, advertising to students, attendance tracking.
- Manage travel insurance enrollment and ensure accurate billing and payment
- Distribute and track program evaluations for all programs
Communications and Information Management- Maintain and enhance office webpages and dashboards to be accurate, timely and accessible to meet the needs of stakeholders
- Create annual report, promotional materials, brochures, digital advertising
- Maintain meticulous student records in Terra Dotta system; create frequent reports and query watches to support team's data driven decision making, and to communicate to various stakeholders.
- Promote and track AlertTraveler activation
- Monitor user experience with Terra Dotta system; liaise and troubleshoot with campus IT; manage support cases
- Manage data collection and reporting for external international education organizations, accreditors, and Bentley's business intelligence's requests
- Maintain accurate and current partner database and emergency contacts
Office Management and Reception- Hire, train, and supervise student workers, to provide consistent direction and work flow
- Determine the shared and individual responsibilities of student workers in areas such as reception, phone, email account, office management, special projects
- Oversee the output of student workers, ensuring accuracy, quality and sensitivity to deadlines
- Determine materials and supplies needs and manage department purchases and invoices
- Initiate mailings such as partner letters and promotional materials, holiday mailing, etc.
- Coordinate visitor agendas and meeting preparations
- Ensure office is organized, welcoming and tidy
- Provide administrative support to team members as needed
Other duties as assignedMinimum Qualifications- Bachelor's degree and one year of related work experience.
- Excellent organization, time management, and prioritization. Ability to manage multiple projects and competing deadlines
- Clear and concise verbal and written communication skills; Ability to communicate effectively with various constituencies diplomatically and professionally

Preferred Qualifications- Familiarity with intercultural learning, cross cultural communication, student development
- Experience studying, living, or working abroad
- Experience in a role that involves advising, mentoring, counseling, conducting orientations or other student services
- Familiarity with Terra Dotta software
Work Environment- Normal working conditions is an office environment.
- Normal physical skills and dexterity associated with office environment and computer works
